TALLY ERP 9 : Advanced Technical Features & Solutions

BACKUP:

Tally ERP 9 provides the mechanism of taking a backup of data from one storage medium into other storage medium. You can take a backup in a local drive or in an external media. Taking backup is easy in Tally software and you just need to provide the source and destination locations of the backup data

RESTORE:

Restoring data means bringing back the data from where the  backup you have taken, to its original state. Tally ERP 9 provides the Restore option to recover the data from one storage location to another. It is advisable not to restore a backup on the original data directory, to avoid the data from being overwritten.

USING E-MAIL IN TALLY ERP 9:

Email is a way of sending and receiving messages over the internet. In Tally ERP 9, you can use the email facility to send reports and documents such as invoices,sales/purchase orders. However, before using the e-mail facility, you need to configure few options, such as the name or address of the e-mail server and the recipient’s e-mail address. After these options are configured, they become the default options and you don’t have to fill it again. All the options are editable, which means you can change them at any time, according to your requirements.

MIGRATING DATA:

Tally ERP 9 comes with the Data Migration tool, which runs only in genuine versions of Tally. This tool is helpful when you want to change from an older version of Tally to a newer one such as from Tally 7.2 to Tally ERP 9. Before migrating make sure to take the backup of existing data as well as the data which are about to migrate.

TALLY .NET:

The latest feature launched in Tally ERP 9,is TALLY .NET, which facilitates sharing the data among different companies through remote login. It is a kind of framework that establishes a connection between a company and the remote user, allowing to remotely access the data and information of the connected company. To utilize this facility, you must have the required permissions and the connected company must be connected to the Tally.net server. You need to create the remote users, authorize and authenticate them to access the data of other companies and assign various security controls to them based upon security levels, that is user or auditor. Tally ERP 9 also provides online help and support to users on the functional as well as technical aspects of Tally.NET.

SECURITY CONTROLS:

In Tally ERP.NET we need to create security controls for defining the access granted to different users of different authorization levels. By default, the TALLY.NET user is authorized as data entry operator and has only a restricted access to the company data, whereas the TALLY.NET Auditor is authorized as the owner of the company and can access all the data of the company. Depending upon the requirements, we can change the access control of TALLY.NET user and Auditor from time to time.

TALLY AUDIT:

Tally Audit provides the capability to the administrator/auditor to track changes in the accounts following his previous review. Changes of two areas are very important – changes in Transactions or Vouchers and changes in Ledger Masters. Tally Audit feature should be enabled while creating the Company and creating Security levels. Only a user designated as an auditor or the administrator can view the audit list and act upon it.

EXPORT AND IMPORT AT TALLY ERP 9

We will now learn about TALLY.ERP 9’s export and import capabilities, which enables TALLY.ERP 9 to interact globally. Statements and data from TALLY.ERP 9 can be exported to other programs like spreadsheets and databases. Only data from TALLY.ERP 9 can be imported and not data from other systems.  Importing from other systems involves the usage of ‘TALLY.ERP 9’S Definition Language’ TDL and this is outside the scope of this training.
